Civic Officer
To coordinate the Council’s civic function to ensure that the office meets the demands of a 21st century city and is proactive in its role of fulfilling Council priorities.
Job Description
Advise and support:
Support the Lord Mayor, Sheriff and other constitutional roles (Civic Dignitaries) appointed by the council with their roles, duties and events attended. Advise Internal and external partners on civic protocols.

Planning and organisation
Liaise with Civic Dignitaries to agree the diary of events Ensure constitutional duties and statutory requirements of the Civic Dignitaries are carried out. Manage internal civic events in line with corporate event procedures and processes. Support the promotion of the work of the Civic Dignitaries, raising the profile of the role within the local community
Maintain the Council’s Royal Death Protocol, ensuring it aligns to advice provided by the Lord Lieutenant’s Office

Financial & procurement
Procure services and staff as required to support civic events Maintain accurate financial records of all civic events, liaising with the Democratic and Elections Manager on budgetary projections
Follow council guidelines in relation to purchasing, expenditure and budget monitoring. |
Administration
Maintain detailed information on civic duties and events. Provide electronic and printed information to Civic dignitaries as required Keep up to date the electronic booking system .

Maintain effective relationships with the Civic Dignitaries and principal partner organisations, including the Lord Lieutenant’s office, civic teams in neighbouring authorities, and local cultural and religious organisations Actively seek feedback to improve service to internal and external customers and the Civic dignitaries

Health and Safety Complete an event management plan for each internally organised event as required Complete Risk assessments for each internal activity as required Ensure activities are compliant with Health and Safety laws and guidance.

General Constantly seek to investigate and learn from best practice both internally and from external sources. Update the guidelines contained within the Civic handbook ensuring ongoing feedback from all sides. |

Skills Required
Educated to GCSE standard with minimum grade C / level 4 in English |
Experience in organising corporate public events Experience in administration within an office environment Experience in working with partners to deliver corporate activity Experience in working with a diverse range of people of differing status. |
Understanding and knowledge of event management Awareness of Health and Safety requirements, procedures and issues related to civic events and activity Understanding of the Civic role, function and requirements within a local council. |
Ability to communicate and relate to people from all backgrounds Ability to manage different types of corporate public events Ability to work under pressure and meet deadlines Ability to work within a team Ability to work on own initiative Ability to work in partnership to deliver civic activity Ability to work methodically with attention to detail Good numeracy and literacy skills Good ICT skills – able to use Microsoft Word, and Excel to an advanced level. |

- Paid holiday entitlement starts at 26 days per annum and increases with length of service to a maximum of 33 days per annum. This is pro rata for part-time employees
